When rent arrears escalate to court, you need to share documents with your solicitor quickly and securely. STEMHQ gives solicitors a read-only portal under a GDPR-compliant Data Processing Agreement, with a full audit trail and access you can revoke the moment proceedings conclude.

How it works

Invite your solicitor

Enter their email address, law firm name, and SRA number. STEMHQ sends a secure invite by email with a time-limited access token.

DPA acceptance on first login

Before any data is visible, the solicitor reads and accepts a Data Processing Agreement. This satisfies your obligation under UK GDPR Art. 28.

Scoped read-only access

The solicitor sees only the specific tenant's case pack: rent ledger, notices, certificates, and deposit compliance. No other tenants or properties.

Immutable audit log

Every action is recorded with a UTC timestamp and IP address: invite sent, DPA accepted, case viewed, document downloaded.

Revoke anytime

When proceedings conclude or you change solicitor, revoke access with one click. The invite token is immediately invalidated.

The legal context

UK GDPR and the Data Processing Agreement

GDPR Art. 28

Sharing a tenant's personal data with an external solicitor makes them a Data Processor under UK GDPR. Article 28 requires processing to be governed by a written contract setting out the subject matter, duration, nature, and purpose of the processing. STEMHQ's built-in DPA acceptance flow satisfies this requirement before any data is accessed.

Data minimisation

GDPR Art. 5(1)(c)

UK GDPR Art. 5(1)(c) requires personal data to be limited to what is necessary for the purpose. Solicitor access in STEMHQ is scoped strictly to the single tenant whose case is being litigated. Your solicitor cannot see other tenants, other properties, or any financial data beyond the specific case pack.

Accountability and the audit trail

GDPR Art. 5(2)

The accountability principle requires you, as Data Controller, to demonstrate compliance if challenged. STEMHQ's access log is immutable and captures every event with a timestamp and IP address. If your data practices are ever queried, you have a complete record of what was accessed and when.

SRA registration and RRA 2026 proceedings

SRA + RRA 2026

Solicitors practising in England and Wales must be registered with the Solicitors Regulation Authority. Entering the SRA number at invite time lets you verify their registration at sra.org.uk before granting access. Under the Renters' Rights Act 2026, most possession proceedings now route through court, making solicitor access to rent ledgers, Form 3A notices, and deposit compliance documentation a standard step in arrears cases.
